The personal data we collect
We collect personal data in two broad ways:
- Website visitors: if you contact us by phone or email, we'll have your name, contact details and whatever you tell us in that message. This site does not use a contact form or website analytics, and does not collect personal data automatically beyond what's set out under Cookies below.
- Clients: once you engage us for bookkeeping or payroll, we collect the financial, payroll and personal data needed to provide that service — for example names, addresses, National Insurance numbers, bank details, salary information, and financial records you provide or that arise from the work.
How we use your data, and our lawful basis
| Purpose | Lawful basis (UK GDPR) |
|---|---|
| Responding to an enquiry made by phone or email | Legitimate interests — answering questions from prospective clients |
| Providing bookkeeping and payroll services to a client | Performance of a contract |
| Meeting our legal and tax obligations (e.g. HMRC reporting) | Legal obligation |
| Keeping records required by law or professional standards | Legal obligation |
How long we keep it
We keep client financial and payroll records for as long as required by HMRC and relevant professional/regulatory guidance — typically [confirm retention period, e.g. 6 years after the end of the tax year they relate to]. General enquiry correspondence that doesn't lead to a client relationship is kept only as long as needed to deal with it.
Who we share it with
We may share personal data with:
- HMRC and other bodies we're legally required to report to
- Pension providers, for payroll auto-enrolment
- [the accounting/payroll software you use, e.g. Xero, Sage, BrightPay], who process data on our behalf as data processors
- Professional advisers (e.g. our own accountant or insurer) where necessary
We do not sell personal data, and we do not share it for marketing purposes.
